Order confirmation and delivery note
How to download the PDF of an order and the delivery note, who sees them and which language they come out in.
cataloop produces two documents per order. The Order confirmation is a PDF of what was ordered, with its figures. The Delivery note is the paper that travels with the goods and carries no prices. Neither is an invoice.
Download the confirmation
- Open the order from Orders.
- On the card The customer’s copy, press Download a PDF copy.
- The PDF for that order downloads, with the figures and the language your customer will see. On a phone you also have Share or save the PDF.
Who sees it and in which language
- Your customer downloads it from their order page with the button Download a PDF copy. Your copy is a preview of theirs.
- The wording follows the language the order was placed in, and does not change if the customer switches the screen language later. Numbers follow the customer's format and, failing that, your shop's.
- The currency is the order's, even if you change the shop currency afterwards.
- The PDF is made each time it is requested and is never stored, so it always shows the order as it stands.
- The card tells you which of your own details are missing. With no legal name the shop name is used, and with no tax number or address those lines are left out. You fill them in under Settings, on the General tab, in the Seller details card. Avoid unusual characters in names, because the PDF font may not print them.
Delivery note
Once the order is accepted, being prepared, shipped or completed, the same card has the button Download delivery note. It opens in a new tab with the order number and the date of the day you download it. At the top are From (your legal name or shop name, and your address) and To (your customer, with their delivery address and instructions if they have any).
- It shows no prices or totals. The table has SKU, Item, Qty ordered and Qty delivered. The delivered column comes filled with what you are about to supply, so you only correct it by hand if something changes.
- Items on backorder are listed apart, under Pending delivery, with their expected date if you set one. They are not part of that delivery.
- At the end there is a Received by block with name, date and signature.
- It is written in the language of the order. Orders that need action and declined orders have no delivery note, and if you move an order back to Needs action the button goes away.
- It says it is not a tax document.
Print sheet
For picking there is also Print inside Orders: a Print queue with accepted and in preparation orders, with a tick box next to each line. Its words come out in your own language and its numbers follow your shop's format. It is a picking copy, not a delivery note. More on the flow in Manage orders.
